Job Description:

The Shockoe Institute seeks an experienced individual to join our team as Director of Business Operations. Reporting to the CEO, you will play a pivotal role in providing comprehensive support across various aspects of our organization’s operations. Responsibilities are two-fold: 1) oversight and management of Institute administrative functions and 2) serving as primary liaison to the Institute Board of Directors.
The Director of Business Operations will be responsible for facilitating efficient administrative processes to ensure smooth day-to-day operations. This will involve tasks such as managing calendars, scheduling meetings, preparing documents, handling correspondence, project planning, tracking progress, and coordinating deliverables.

The Director of Business Operations will be tasked with managing relationships with external partners, including vendors, suppliers, and contractors. This will involve communicating effectively with stakeholders, ensuring that projects are completed on time and within budget. Strong interpersonal skills and the ability to build and maintain Institute relationships are critical success factors essential in this role.
In addition to the above responsibilities, you will support facilities management to ensure that our physical workspace is well-maintained and conducive to productivity. This will involve coordinating office logistics, managing inventory, and addressing any facilities-related issues as they arise.
The ideal candidate for this role will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. You should be able to multitask effectively, prioritize tasks, and thrive in a fast-paced environment. A collaborative mindset and a willingness to adapt to changing priorities will also be critical to your success in this role.

Key Responsibilities:
• Administrative Support
o Manage calendars and schedules for executive team members.
o Coordinate internal and external meetings and prepare necessary documents.
o Handle correspondence and communications on behalf of the organization.
• Project Management
o Assist in project planning and tracking progress.
o Coordinate deliverables and ensure projects are completed on time.
o Support project teams with administrative tasks as needed.
• External Partners Support
o Assist with management of relationships with vendors, suppliers, and contractors.
o Communicate effectively with external stakeholders.
o Coordinate meetings between partners and prepare necessary documents.
• Facilities Management:
o Oversee the maintenance of the physical workspace.
o Coordinate office logistics, including equipment procurement and maintenance.
o Address facilities-related issues and ensure a comfortable and productive work environment.
• Performance Measurement:
o Capture data for key performance indicators (KPIs) to measure the effectiveness of business operations.
o Monitor performance against established KPIs and implement corrective actions as needed.
o Continuously evaluate and improve processes to enhance efficiency and productivity.

Key Requirements:
• Education: Bachelor’s degree in business administration, finance, or related field required.
• Experience: Minimum of 5 years of experience in business operations or a related field.
• Communication Skills: Excellent verbal and written communication skills. Ability to effectively communicate with diverse stakeholders.
• Problem Solving: Proven track record of effectively solving problems and making decisions without direct supervision, capable of working autonomously and proactively anticipating potential challenges and issues.
• Time Management: Excellent time management skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
• Strategic and Critical Thinking: Strategic mindset with the ability to think long-term and develop innovative strategies by analyzing situations, assessing potential outcomes, and developing strategic solutions.
• Collaboration: Strong interpersonal skills with the ability to build relationships and collaborate effectively with internal and external partners across all levels of organizations.

Preferred Qualifications:
• Industry Experience: Experience working in a similar role within a start-up or early-stage organization
• Strategic Planning Experience: Experience implementing and supporting strategic plans to drive organizational growth and success.
• Change Management Experience: Experience leading change initiatives and managing organizational transitions effectively.
• Technology Proficiency: Proficiency with relevant software and tools for project management, productivity and communications.
• Cross-functional Collaboration: Experience collaborating with cross-functional teams and executive stakeholders to achieve common goals.
• Continuous Improvement Mindset: Demonstrated commitment to continuous learning and improvement, with experience implementing process improvements and efficiencies.
• Conflict Resolution Skills: Strong conflict resolution and negotiation skills, with the ability to navigate complex situations and resolve conflicts effectively.

Compensation:
The salary range for the Director of Business Operations position is between $70,000-$80,000 annually with benefits, commensurate with experience and qualifications.
